What does Fin read from QuickBooks Online?

Your chart of accounts and the last twelve months of coding. From those, Fin proposes rules that map its own categories to the accounts your bookkeeper already uses — you review them once.

  • Chart of accounts

    Accounts with their types, so each 2Fin category can be pointed at the expense or income account your bookkeeper expects.

  • Twelve months of coding history

    Which account each kind of spend has been going to. Fin uses it to propose the mapping rather than asking you to build one.

  • Proposed rules

    A suggested category-to-account map you can accept, adjust or ignore. Nothing is applied until you say so.

What goes out to QuickBooks Online?

Each transaction you choose, as a coded Purchase or Deposit with the receipt attached — in beta. It lands in QuickBooks with the account already set, ready to match against your QuickBooks bank feed.

  • Purchase

    A card or cash expense, coded to the mapped account with the tax treatment Fin recorded, with the receipt attached.

  • Deposit

    Income you recorded in 2Fin, coded the same way, so the file sees both sides.

  • Receipt attachment

    The original receipt travels with the transaction as an attachment. No re-uploading on the QuickBooks side.

  • Only what you chose

    One transaction, a filtered batch, or a rule — bank-feed transactions included.

How do you connect AI2Fin to QuickBooks Online?

Sign in on QuickBooks Online’s own screen, review the rules Fin proposes once, and push transactions when you are ready. Three steps.

  1. Sign in with Intuit

    Choose QuickBooks in 2Fin’s integrations settings and authorise on Intuit’s own page, picking the company file. The connection is listed in QuickBooks under connected apps, where you can remove it any time.

  2. Review the proposed rules

    Fin reads the chart of accounts and twelve months of coding and proposes a category-to-account map. Adjust it once and it is used for every push.

  3. Choose what to push

    Pick the transactions to send and Fin creates each as a coded Purchase or Deposit with the receipt attached. Beta today — the rule proposals and batch options keep improving.

Your bank-feed transactions push the same way as everything else

Transactions that arrived through a bank feed you connected — BankSync, SimpleFIN, Akahu, Up Bank, Monzo or Starling — can be sent to your ledger exactly like entries you typed in, imported from a CSV or XLSX, or captured from a receipt. A push carries the transactions you choose — one at a time, a filtered batch, or by rule — coded and with the receipt attached, and your ledger’s own bank feed then reconciles against what Fin sent.

Does your accountant use a different ledger?

Common questions about the QuickBooks Online integration

Does the QuickBooks connection work with QuickBooks Desktop?
No — QuickBooks Online only. Desktop files have no equivalent cloud connection to authorise. For a Desktop file, 2Fin’s CSV export and spreadsheet destinations are the route.
Can I edit or undo something 2Fin sent to QuickBooks?
Yes. Each pushed transaction is an ordinary Purchase or Deposit in QuickBooks, so you or your bookkeeper can recode, edit or delete it there like anything else. The connector is in beta, and you choose every transaction that is sent.
Do bank-feed transactions get pushed into QuickBooks?
Yes, when you choose them. Transactions from a feed you connected — BankSync, SimpleFIN, Akahu, Up Bank, Monzo or Starling — are pushed the same way as anything you typed in, imported or captured from a receipt. A push carries the transactions you chose, and your QuickBooks bank feed matches against those.
How does Fin decide which QuickBooks account to code to?
It reads your chart of accounts and the last twelve months of coding in the company file, and proposes rules from what it finds. You review the rules once and can change any of them; from then on each pushed transaction carries the account the rule chose.
Which QuickBooks permissions does 2Fin ask for?
The accounting scope, which covers reading your chart of accounts and transactions to build the rule proposals, and writing purchases, deposits and attachments for the push. It is granted on Intuit’s screen for the one company file you pick and can be revoked there without touching 2Fin.
